This Privacy Policy describes how Results Data Solutions (“Results Data Solutions,” “we,” “us,” or “our”) collects, uses, discloses, stores, and protects information in connection with our website, communications, managed email campaign services, international campaign services, count requests, buyer-list work, and related audience definition or consulting services.

This Policy applies to information collected directly from site visitors, prospective clients, current clients, campaign respondents, and other business contacts who interact with us. It also applies to information processed on our behalf by service providers acting under our instructions. Separate written agreements may impose additional confidentiality or data-handling obligations for a specific client engagement.

Summary:

We collect and process information to operate the site, respond to inquiries, evaluate and perform projects, maintain suppression and compliance records, administer the business relationship, and satisfy legal obligations. We do not sell personal information, and the Global RDS Database is not made available for public access or general resale.

Categories of Information

The categories of information we collect depend on the nature of the relationship and the service requested. We may collect the following categories of information.

Identifiers & Business Contact Details

Name, company name, job title, business email address, phone number, mailing details, and related contact information submitted through forms, scheduling tools, email, or other direct communications.

Project, Audience & Transaction Information

Equipment descriptions, inventory details, audience requirements, geography, title filters, campaign goals, timing, approvals, count criteria, service history, invoicing records, and other information required to evaluate, quote, or perform a project.

Creative, Commercial & Support Materials

Copy, artwork, landing page URLs, offer terms, product descriptions, images, attachments, and related business materials provided for campaign preparation, list work, reporting, or support.

Website, Device & Technical Data

IP address, browser type, operating system, device information, referring page, pages viewed, timestamps, and similar technical or usage information collected through site logs, analytics, or standard website technologies.

Campaign Interaction & Compliance Data

Delivery events, clicks, unsubscribes, bounce data, response activity, suppression records, and related engagement information processed in connection with managed campaign services.

Payment & Accounting Data

Information reasonably required to issue invoices, process payments, reconcile accounts, maintain accounting records, and administer contractual or commercial obligations. Full payment-card information, where applicable, is generally handled by third-party processors rather than stored in our systems.

We may also generate internal notes, service history, suppression records, and administrative metadata in the ordinary course of operating our business.

Sources & Use of Information

We collect information directly from you, automatically through your use of the website, from service providers acting on our behalf, and, where relevant to a project, from lawful business sources used to support our services. We use information only where there is a legitimate business, contractual, operational, security, or legal purpose for doing so.

Communications & Pre-Contract Review

To respond to inquiries, schedule calls, assess service fit, prepare counts, review proposed projects, issue proposals, and communicate with prospective clients before a project begins.

Service Delivery

To build audience definitions, prepare list deliverables, run managed email campaigns, process responses, maintain suppression files, provide reporting, and otherwise perform the services requested by a client.

Website Operations

To maintain site functionality, secure the website, monitor usage, diagnose performance issues, improve content, and protect against fraud, abuse, or unauthorized access.

Relationship Administration

To manage contracts, invoices, collections, records, approvals, account history, support requests, and related internal administration.

Compliance & Legal Obligations

To maintain unsubscribe and suppression records, respond to privacy or legal requests, enforce our rights, comply with regulatory and recordkeeping obligations, and preserve evidence relevant to disputes or investigations.

Where applicable law requires a legal basis for processing, we generally rely on one or more of the following: your consent, performance of a contract or steps taken at your request before entering a contract, our legitimate business interests, and compliance with legal obligations.

We do not use client project information for unrelated advertising purposes, and we do not sell personal information collected through the website or through service delivery.

Global RDS Database & Service Data

Our services are structured differently, and our handling of information reflects those differences. Results Data Solutions maintains the Global RDS Database as a proprietary business asset used to support audience segmentation, count work, and managed campaign execution.

For managed services, including Opt-In Email and International Email campaigns, we use the Global RDS Database to identify and reach relevant audiences through our systems. Those services do not provide clients with unrestricted database access, platform access, or raw database exports.

For buyer-list or audience-definition services, we may provide counts, selection logic, recommended audience criteria, or a limited list deliverable if and only if that output is expressly included in the project scope. Any such deliverable is limited to the agreed criteria and does not transfer rights in the Global RDS Database, our broader records, our segmentation logic, or our underlying methods.

Important distinction:

A managed campaign is performed through our controlled systems. A separately contracted list deliverable, if any, is a limited output only. The existence of a list service does not mean the Global RDS Database is for public sale, general licensing, or open access.

Disclosure of Information

We disclose information only where reasonably necessary to operate the business, perform services, protect our interests, or comply with legal obligations.

Vendors & Service Providers

We may disclose information to vendors that support hosting, analytics, scheduling, payment processing, CRM, email deployment, security, development, accounting, or other business operations. Such parties are permitted to process information only as necessary to provide services to us or on our behalf.

Project Delivery & Client-Directed Disclosures

Where a project requires response routing, reporting, a defined list deliverable, or other agreed output, we may disclose the information reasonably necessary to complete that scope.

Legal, Regulatory & Protective Disclosures

We may disclose information where required or reasonably believed to be required by law, subpoena, court order, regulatory inquiry, government request, or to protect our rights, property, systems, personnel, or users.

Corporate Transactions

Information may be disclosed as part of a merger, sale, financing, acquisition, restructuring, or similar transaction, subject to appropriate confidentiality and use restrictions.

We do not sell personal information, and we do not license the Global RDS Database to unrelated third parties for general use.

We retain information for as long as reasonably necessary to fulfill the purposes for which it was collected, including to provide services, maintain business records, preserve suppression and compliance files, resolve disputes, enforce agreements, and comply with legal, tax, accounting, and regulatory obligations.

Retention periods vary depending on the category of information, the nature of the service, the status of the business relationship, the sensitivity of the data, and applicable legal requirements. For example, contractual, billing, and compliance records may be retained longer than routine website usage data. Suppression and unsubscribe records may be retained for an extended period to ensure continued compliance with messaging restrictions.

When information is no longer required, we will delete it, de-identify it, or retain it in a restricted archive where continued retention is reasonably necessary or legally required.
